Our client, a government technology organization based out of the Midwest, contacted our team at Triad Conferences to organize an event in Washington D.C. The event was for 350 federal employees to attend a half-day educational conference. Our client did not have the internal resources and bandwidth to plan an event at the scale required, so they partnered with our team to help them plan and coordinate all conference details from the strategy phase to event completion.

We made travel arrangement for speakers and internal staff and coordinated all ground transportation, flights, hotel rooms, and other accommodations.

The federal event consisted of a full morning of presentations and an awards ceremony. Our team ordered staging, lighting, signage, monitors, microphones, AV, tables, chairs, projectors, and other business amenities to ensure the presentations and ceremony would be captivating. With the technology resources available to us, we were able to help our client create a live webcast for those who could not attend the event.

In addition, we managed a genius bar, food and beverage for all attendees, and coordinated interpreters for those with impaired hearing. Our team successfully facilitated details like transportation to and from the event and a discounted hotel rate that we negotiated for our client’s employees.
