As our client’s agency-of-record for trade shows and events, we helped them create a stand-out exhibit and managed all the details for their strong participation at HIMSS, the Healthcare Information and Management Systems Society Show. Our client doesn’t have a dedicated event staff, so they hired Triad Conferences to help them plan, manage, and execute all trade show and event programs.

Over the course of four years in working with our client, a leader in the healthcare management industry, they trusted Triad Conferences to help them move from a simple 10’x10’ exhibit to an elaborate and crowd-captivating 20’x 50’ booth.

During the first year of our partnership, our team educated our client on the importance of trade shows and helped them develop an annual program. We came alongside to manage every aspect of finding an exhibit house to fabricate their booth. For this process, we wrote our client’s exhibit creation RFP, found the best exhibit house to produce their booth, and managed the proposal process to ensure our industry-leading client would have the best space at HIMSS.

After strategically analyzing options for our client, we narrowed it down to two top exhibit houses, then presented their designs and ideas to our client. Once the final selection was made, we finalized the contract with the exhibit company and ensured they followed our client’s timeline, brand standards, and budget. Our client saw the booth one time before the show and trusted Triad Conferences to perfectly execute the trade show.

The second part of the partnership was to manage all logistics for HIMSS. This included electrical, technology, AV, internet, labor, catering of food and beverages, shipping, handling, labor for booth, build and dismantle, signage, hanging elements, researching and procuring various promotional items, sponsorship and speaking opportunities, registration of staff, hotels and transportation, and more.
